Privacybeleid voor TeamCav
Effective Date: August 3, 2026
1. Introduction
Welcome to TeamCav, a product of Coding Cavalry, LLC. We are committed to protecting your privacy and providing a secure platform for managing sports teams, clubs, and leagues. This Privacy Policy outlines how we collect, use, disclose, and safeguard your information when you use our website (www.teamcav.com) and our mobile application. This policy applies to all users of the TeamCav platform, including Administrators, Coaches, Officials, Parents, and Players (collectively, "Users"). By using our services, you agree to the collection and use of information in accordance with this policy. This policy is provided in English; the English version is the controlling version.
2. Information We Collect
We collect information to provide and improve our service to you. The types of information we collect depend on your role and how you use our platform.
A. Information You Provide Directly
Account Information: When you register for an account, we collect personal information such as your name, email address, password, and your role (e.g., coach, parent).
Team and Roster Information: Coaches and Administrators provide information about their teams, including team names, and roster details such as player names, birth dates, and contact information for parents.
Communications: We collect the content of messages, posts, and other communications you send through our platform's integrated messaging and email features.
Photos, Videos, and Live Streams: Users may upload photos and videos (including photos and videos of players) and broadcast live streams of games through the platform. This media is stored securely and is visible only to authorized members of the relevant team or league.
Health Check Responses: If a league enables pre-event health checks, parents may submit brief health screening responses on behalf of their players. This information is used solely for event participation decisions within the league.
Background Check Information: If a league requires background screening for coaches or volunteers, the individual being screened provides their information directly to Checkr, Inc., our background check provider. TeamCav receives only the screening status and result category — we do not receive or store the underlying report details.
AI Assistant Questions: If you use the built-in AI assistant, the questions you submit are processed by our AI provider (Anthropic) to generate answers. Do not enter sensitive personal information, or any information about a child, into the assistant.
Payment Information: For leagues on paid plans or leagues processing registration payments, we collect billing information. All payment transactions are processed through secure, PCI-compliant third-party payment gateways like Stripe. TeamCav does not store or have access to your full credit card numbers.
B. Information Collected Automatically
Usage Data: When you access the service, we may automatically collect information such as your device's IP address, browser type, pages visited, and the time and date of your visit.
Device Information: We may collect information about the mobile device you use to access our app, including the device model, operating system, and unique device identifiers (used, for example, to deliver push notifications).
3. How We Use Your Information
We use the information we collect for various purposes, including: to provide and maintain our service, manage your account, communicate with you, process transactions, deliver notifications you request, improve our platform, and ensure security.
4. Data Sharing and Disclosure
Your privacy is paramount. We do not sell or rent your personal information to third parties. We share information only with trusted third-party service providers who perform services on our behalf, and only as needed to provide those services. These providers include: Stripe (payment processing), Checkr (background screening, where a league requires it), Twilio (SMS notifications), SendGrid and Resend (email delivery), Google Firebase (push notifications), Amazon Web Services (secure file storage and live stream delivery), and Anthropic (AI assistant responses). Each provider is bound to use the information only to provide its service.
5. Children's Privacy (COPPA Compliance)
TeamCav is designed for youth sports, and we take children's privacy seriously. Our practices are designed to meet the requirements of the Children's Online Privacy Protection Act (COPPA).
Children under 13 cannot create or use their own TeamCav login. If a player's date of birth shows they are under 13, sign-in is blocked. Those players take part through a parent or guardian's account, where their teams, schedule, and messages are all available. As a result, we do not collect personal information directly from children under 13.
Player profile information, such as names and birth dates, is entered by parents, guardians, or authorized league staff rather than by children. Photos and videos of players are visible only to authorized members of the player's team or league, and are never publicly listed on a league's public website.
Parents and guardians may review and update their child's information at any time in the app. To have a child's record deleted, a parent or guardian may ask their league administrator, who can remove it directly, or contact us using the details in the Contact section below and we will delete it. We will not condition a child's participation on providing more information than is reasonably necessary.
6. Data Security
We implement a variety of security measures to maintain the safety of your personal information, including TLS encryption, bcrypt password hashing, and PCI-compliant payment processing.
7. Your Rights and Choices
You may access and update your account information at any time from within the app. You may delete your account and associated personal data yourself — see our account deletion page for instructions — or by contacting us at the email below.
8. How Long We Keep Information
We keep account and player information for as long as the account remains associated with a league, so that rosters, schedules, and history stay available across seasons. We delete information sooner on request, as described above. When information is deleted, it is removed from our active systems along with the related records, including photos and videos.
9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the effective date above.
