Integrated Checkr Workflow
TeamCav connects directly to Checkr — the same background check provider trusted by Uber, DoorDash, and Lyft. Send an invitation from your admin dashboard, and the candidate receives a secure email link to complete the screening on their own device. Results flow back automatically through encrypted webhooks. No manual paperwork, no third-party portals, no chasing down completion statuses.
Background Check Command Center
A dedicated dashboard gives league admins instant clarity on who's cleared, who's in progress, who needs review, and whose check is expiring soon. Every record is searchable by name and team, filterable by status, and exportable to CSV for offline reporting or audit response. The dashboard is the single source of truth — every invite, resend, cancel, and delete action lives here.
Smart Status Indicators
Color-coded indicators appear next to every coach, manager, and official throughout the admin app — green for cleared, blue for in progress, orange for needs review, red for required-but-missing. Click the red icon next to any user and you're taken straight to the Background Checks dashboard with their invitation already in flight, ready to send. No searching, no copy-paste, no wasted clicks.
Role-Based Requirements, Your Way
By default, TeamCav enforces background checks for Head Coaches, Assistant Coaches, Coaches, Managers, Assistant Managers, and Officials — every role with sustained access to children. Treasurers and other roles are opt-in. Each league configures its own required-role list to match local policy, governing body rules, or insurance requirements.
Three Package Tiers, Plain English
Choose from three Checkr packages, described without HR jargon: Basic Plus Criminal (identity verification plus national criminal and sex offender registries — recommended for most volunteer coaches), Essential Criminal (adds 7-year county criminal records — recommended for paid staff and treasurers), or Complete Criminal (adds federal and state criminal searches — for senior administrative roles or anyone with unsupervised access to children). League admins pick what fits each role; no decoder ring required.
Automatic Renewal Tracking
Background checks don't last forever — most leagues require periodic re-screening. TeamCav lets each league set its own renewal cadence (12, 24, or 36 months) and automatically surfaces upcoming expirations 30 days out via the Expiring Soon dashboard tile. Coaches whose checks expire are flagged with the same red action indicator as those who never had one — no one falls through the cracks.
FCRA-Compliant Record Retention
Federal Fair Credit Reporting Act rules require completed background check reports to be retained — they cannot be deleted on a whim. TeamCav enforces this server-side: completed checks (clear, consider, suspended, or dispute results) cannot be removed from the system. Only canceled invitations and expired records can be cleared, and every action — invitation, resend, cancel, delete — is recorded in the league activity log for full auditability.
